Good call Gabes. I think we should wait for Bill to get back. But we can go without him if others really want to. Anyone have a date for his return?

This is where I think we are at. I've included items from the previous agenda in strikethrough. Let me know if you think we need to keep any of these items.
I think the next meeting should focus mainly, or only, on Courts and selling the Euros merch.
**LHBPA **
Management Committee meeting agenda22 February, 2009
**1. **Approval of minutes
Are there any corrections to the minutes as distributed?
2. Reports
Officers’ reports
Chair (Chidley), Vice-Chair, Secretary (Campano), Treasurer (Fernandez)
Standing Committee reports
Special Committee reports
Courts committee (Cheung)
Outreach Committee
Fundraising Committee (Pate)
3. Unfinished business
- Courts
EHBPC financial report- Constitutional amendments
UK Championships (are we serious about this for 2010? Then need to form a committee)- London International Open (are we serious about this for 2010? Then need to form a committee)
- Should the Association get employer liability coverage as part of its insurance?
- Nominate a chair or co-chairs for Outreach Committee (Matt Goldenwheel?)
Do we need a private LHBPA forum?- Should minutes be made public?
Polo relations: Association’s relation to the community- Revisit goals and projects: Any new projects other than courts, UK championship, and an annual London Open?
- Membership drive
Rules Committee?- International Liaison Officer: Revisit post; Add to core officers or create a committee?
- Need a plan for selling the rest of the Euros merch, asap
New Business
Donation to 2010 Euros or Worlds?- Open accounts from suppliers like balls, titanium, abs, Travis Perkins for boards?
- Look into the Association being able to provide sports-travel insurance
- Get Association on local discount lists (e.g., Condor)?
- Discussion of how things are made public under the Association’s name
- Lists of goals/duties for each committee and chair
- Website
- What happens to the money if the Assoc folds? How long can it hold on to money in an inactive state?
- If minutes are to be made public they need to be a lot clearer than this and people need the right to request they are not made public. If notes are made public Roxy would ask that they are made public on a secure site or forum for members only
- Can any member use the Streetcar account? I think this is a perk for being a member. They’d have to pay a deposit to use it and have a valid license. We should let potential members know this.
When are we closing down our storage? It’s expensive.- Policy on abusive, derogatory comments
Need an organizer for the polo demo/tourney at the EAST festivalAny other business?

I would like to suggest that the next meeting focuses exclusively on the following issues:
1) Selling the Euros merch
2) Communication and consultation with the community, including a forum (Gabes is bringing a proposal)
3) We need to consider a more central location, or a rotating location, for meetings.
4) Courts (Ray?)
I've asked the Executive Committee if there are any objections.

Would any current and/or potential members please indicate here whether they have a problem with meetings always being in NE and, if so, make some suggestions for alternative locations?

As a potential member:
Regardless of where the meeting location is, will all important decisions still require attendance of meeting? Can this element be moved 'on-line' so every member can have a say?

I do.
SE1 suggestion: The Roebuck on Trinity Street

Potential member: would prefer a static, more central location to account for players existing on the outer reaches of London (Uxbridge springs to mind).
Sidenote: being geeky and triangulating the furthest extremes on the Battle of the Boroughs thread (Uxbridge, Walthamstow and Sutton), you get Putney.

Potential member: if meetings were more central.

Ha! There are ways of correcting for this "anomaly" with statistical software. The easiest way in this case would to ignore the extremes.

SE1 seems to be a good option.
-
• #37
E1 is even better ;)
-
• #38
How about the south bit of Trafalgar Square, the dedicated center of London? Outside, polo in the fountains?

Disgruntled of Putney

Putney is the most broken place in London. It's both considered West London, and is South of the river. Wtf?
-
• #41
Its not the actual location that is preventing me becoming a member, that would be silly. It is the fact that decisions are only made by members present at the meetings and not absentees. Is this going to be addressed?
thanks. sorry if i am getting confused.

• #42
sarah, that's my thinking behind doing a forum for members, so decisions are made by every member, votes, for example being open for 7 days, so everyone has had a chance to vote.
-
• #43
Wait - is this meeting tonight?
-
• #44
chukker, the above agenda states the meeting is tonight???
-
• #45
And I thought we were waiting for Bill to return, as he is our leader.

nice one gabes. Also, i know you are thinking of the closed forum to members only, but we need to make issues which affect London Bike Polo aware to non-members too somehow. Can this be addressed please?

• #47
come to the meeting, and raise it.
-
• #48
Potential member: would prefer a static.
I don't think it needs to be static, maybe visiting south and west once a year would be a start.
But if it's central how about chandos near leichester square.

The more consistency the better as far as maintaining numbers of people turning up.
