Scope of the role:
The role will involve working as part of the Operations Team managing Bikeworks Bikeability cycle training bookings for schools, adult one-to-ones, businesses and groups.
In practice this involves liaising with a large range of external organisations including Local Authorities and schools, businesses and individuals, whilst working alongside Bikeworks team of core and freelance staff.
As a small organisation there is a requirement for a flexible approach to working and the ability to undertake other administrative duties as required.
Salary & conditions:
£20-21k depending on skills and experience
5 days a week full time (09.00 to 17.30)
25 days holiday
Pension contribution
Initial six month contract with possibility of extention

Essential Skills & Experience
A minimum of one year’s employment in a related administrative role
Very strong organisational skills & proven ability to manage effective office administration systems
Experience of working in a busy office environment and coordinating tasks with a wide number of employees and external organisations and freelance contractors
Very strong oral and written communication and interpersonal skills with an ability to manage a variety of different working relationships and personalities
Strong IT office skills in MS Windows, Word, Outlook, Excel
Understanding of and buy into Bikeworks organisational values as a social enterprise
Attention to detail and accuracy
Proactive and able to work under minimum supervision
Desirable Skills & Experience
• Knowledge of Bikeability cycle training and its practical implication
• Experience of working in a bookings capacity – e.g events
• Competency and experience of using other MS office applications such as Powerpoint, Publisher
Job Description Main Duties and Responsibilities:
Coordinating all aspects of Bikeworks external bookings for cycle training
Processing schools & adult cycle training bookings
Managing training diary including allocation of instructors to jobs & communicating booking information to relevant parties
Tracking budget allocation: managing various borough or project-led budgets
Follow up calls: checking and confirming bookings with all parties
Dealing with any customer or staff queries and issues while courses and events are taking place (e.g. sickness, weather, behaviour issues, complaints, change of information etc)
Logging and processing risk assessments and road surveys
Record keeping - Logging all trainees names, pass numbers, certificate distribution & producing monitoring and output data for funders and customers
Initiating invoicing process
Collecting feedback from customers
Receiving & checking freelance staff invoices before approving for payment
